FIFTEENTH JUDICIAL DISTRICT COURT Secretary for Family Court

JOB TITLE: Secretary for Family Court SUPERVISION: Works under the direction of the Administrative Assistant

ESSENTIAL DUTIES AND RESPONSIBILITIES include, but are not limited to the following: • Answers phones and questions and/or direct calling party to correct department • Data Entry – Process ImageFlo documents from the clerk's office. This data entry schedules the Hearing Officer Conferences • Maintains Hearing Officer's calendars • Gives available dates to attorneys’ office staff to reset matters • Log in HOC submissions • Prepare Drug Testing Orders as requested by Hearing Officers • Direct persons who come to our office window to the proper location for their hearing • Confirm HOC appointments by phone as needed for the next week • Scan recommendations to the proper file on the computer • Prepare reset notices as needed • Make copies of recommendations and give or mail to attorneys, their clients, and selfrepresented litigants • Filing as needed • Communicate with Bailiffs regarding HOC as needed • Assist with getting the Payors designation forms signed (when needed) • Assist DA staff in completing HOC Recommendations for non-support (when needed) • Get mail from the court receptionist • Other duties as needed

NECESSARY KNOWLEDGE, SKILLS AND ABILITIES • Ability to communicate effectively in writing and orally. • Ability to form and maintain effective working relationships with judges and general public. • Proficient in the usage of computers and related technology.

EDUCATION/EXPERIENCE: High school graduate or equivalent required. Previous clerical experience preferred.

MISCELLANEOUS: This is a full-time position that will work hours are 8:30 a.m. to 4:30 p.m.; Monday - Friday with the Fifteenth JDC Family Court. The Court is an equal-opportunity employer.

Court Room Deputy

This position is in the Clerk’s Office, reporting directly to the Deputy-in-Charge. The incumbent performs general and specialized case management functions. The duties involve managing the Article III Judge’s caseload, attending and logging court proceedings, drafting orders, processing orders, and recording proceedings. This job entails a high level of knowledge regarding complex court operations. In addition, the Courtroom Deputy functions at the fully proficient level for all courtroom work assignments. Work is performed in an office setting or a courtroom. Occasional travel inside and outside of the district is required. Occasional work during non-business work hours is required.

REPRESENTATIVE DUTIES:
• Manages the Article III Judge’s caseload and court calendars.
• Attends court proceedings, calls Court to order, administers oaths and swears in witnesses.
• Assists with the orderly flow of proceedings including, but is not limited to, setting up the
courtroom, conducting and troubleshooting court hearings by video and telephone, using
platforms such as Zoom, Microsoft Teams, and other Courtroom technology resources, assures the presence of all necessary parties and assists with the selection of juries and managing exhibits.
• Composes minute orders, judgments, and other court forms.
• Reviews the quality of electronic filings made by outside users, ensures that entries are
appropriately and accurately docketed and takes other appropriate corrective actions as needed.
• Makes summary entries of documents and proceedings on the docket. Prepares and transmits to appropriate parties such items as: notices, judgments, and orders.
• Acts as a liaison between the Article III Judge and other Clerk’s Office staff, Probation and
Pretrial Services, the United States Marshal Service, the United States Attorney’s Office, the Federal Public Defender’s Office, attorneys and parties to litigation, other government agencies, and pro se litigants to ensure the just and efficient administration of justice.
• Performs data quality control on attorney docketed entries of all documents and proceedings;
performs docket functions in the Case Management/Electronic Case Filing (CM/ECF) system; checks ECF ready folders; and assists in ensuring all automated entries are appropriately linked for proper case management.
• Assists in the accurate statistical reporting requirements of the Administrative Office.

MINIMUM QUALIFICATIONS:
• High school diploma or equivalent;
• Two years of general administrative experience; and
• Two years of specialized experience. Specialized experience is progressively responsible clerical or administrative experience requiring the regular and recurring application of clerical procedures that demonstrate the ability to apply a body of rules, regulations, directives, or laws and involve the routine use of specialized terminology and automated software and equipment for word processing, data entry or report generation.

NATURE OF WORK:

To serve as full-time secretary for the Sixteenth Judicial District Court, Family Court Program, Hearing Officer. To perform professional level of work necessary to schedule family court pre- trial conferences, process the necessary forms, and maintain case files. Work involves typing, filing, data entry, and statistical reporting. Work is performed under the direction of the Family

Court Hearing Officer. Work is reviewed on the basis of quality and appropriateness of duties performed, attendance and feedback from court personnel, as well as conferences and written reports.

EXAMPLES OF WORK:

(A given position may not include all of the duties listed. The examples provided do not cover all of the duties which the incumbent of this position may be required to perform.)

  • Serve as the parish receptionist for the 16th Judicial District Court.
  • Check with Clerk of Court’s Office throughout the day for Family Court filings.
  • Schedule pre-trial conferences for all Family Court cases.
  • Generate Orders, Questionnaires, Affidavits of Income and Expenses, Child Support

Worksheets, Joint Custody Plans, Consent Judgements of Support, Orders of Mediation, and Orders for mental Health Evaluation, for all Family court cases.

  • Submit appropriate paperwork to Clerk of Court.
  • Maintain case files of all Family Court pre-trial conferences.
  • Coordinate with Clerk of Court for purpose of maintaining all dockets which affect

Family Court system or are affected by the Family Court system (Rules, Merit Docket & Protective Orders).

  • Enter Family Court pre-trial conference data and maintain calendar and statistical data.
  • Track Family Court program data and statistics and prepare required programmatic reporting and ensure timely submission of required program reports.
  • Prepare correspondence for Family Court Hearing Officer.
  • Maintain pleasant and professional demeanor and communicate diplomatically while working with attorneys, litigants, Clerk of Court staff, judges and their staff, court administrator and other court personnel.
  • Establish and maintain strong working relationships with the staffs of the District Court, Clerk of Court, Support Enforcement, Family Court Hearing Officer and staff, court administrator, law enforcement agencies, and other court personnel.
  • Be tactful and adept in dealing with a wide variety of people.
  • Handle disruptive and provocative behavior in a non-inflammatory manner.
  • Assist in preparation and operation within annual program budget.

  • Perform duties in composing, saving and retrieving information using a computer, and evaluating the work product of same.
